Lesson 5.2: Stage three and step two in the grievance process

Within three days of receiving the aggrieved employee’s GF 3, the Dean or DVC or VC schedules a grievance hearing with the relevant parties. They may be assisted by the HCBP or ER specialist, or manager in scheduling and facilitating the formal hearing.

A minimum of two days’ written notice to attend the formal grievance hearing must be given.

The grievance hearing must be held within a reasonable time and should not be unnecessarily delayed by the parties involved.

The aggrieved employee and immediate Line Manager may be represented at the formal grievance hearing by a fellow staff member or a Union Representative.

Within five days, or whatever extended period that may be agreed upon by the parties, of the formal grievance hearing concluding, the Dean / DVC / VC conveys the proposed solution or outcome in writing using PART 3 of GF 3.

Part 3 of GF 3 is completed by the facilitator of the formal grievance hearing, i.e., Dean or DVC or VC.

The decisions related to grievance are documented.

The date on which the recommendation was communicated to the grievant is documented.

The Dean or DVC or VC signs and dates the form.

Remember that this is the final stage in the internal process. Should the employee remain aggrieved with the decision or the remedial action taken to resolve the grievance, he/she may seek redress in any other applicable external forum having jurisdiction to deal with it, e.g., CCMA.
